Healthcare Virtual Assistant – Appointment Setter (Onsite)

About the role

Snapscale is seeking a Healthcare Virtual Assistant who will act as an Appointment Setter and US Clinic Coordinator. The role ensures a smooth patient journey by handling scheduling, communications, and coordination with clinic staff and external partners.

Key responsibilities

• Verify patient benefits and insurance coverage.
• Reactivate past patients and maintain ongoing engagement.
• Answer inbound calls, respond to inquiries, and make outbound calls to leads and potential patients.
• Confirm, schedule, reschedule, and follow up on patient appointments.
• Process prescription refills according to clinic policies.
• Manage electronic medical records (EMR) and audit lab results, following up on missing reports.
• Oversee virtual kiosk operations and ensure accurate data capture.

Required profile

• Proven experience in appointment setting, including scheduling, rescheduling, confirming appointments, and patient follow‑ups.
• Background working with US‑based clinics or healthcare environments.
• Strong written and verbal English communication skills.
• Highly organized, detail‑oriented, and self‑motivated.
• Willingness to work onsite.

Required skills

• Experience with electronic medical record (EMR) systems.
• Insurance verification and benefits checking.
• Medical billing and coding (a plus).
• Processing prescription refills and auditing laboratory results.
