AIA Billing & Construction Project Coordinator

About the role

We are seeking a highly organized AIA Billing & Construction Project Coordinator to support the execution of commercial construction projects. The role involves managing contracts, bonding, AIA billing, and project documentation while ensuring smooth administrative coordination across multiple sites.

Key responsibilities

• Review and manage commercial construction contracts throughout the project lifecycle.
• Coordinate bid bonds, performance bonds, and maintenance bonds; prepare and submit bonding documentation.
• Prepare and submit AIA billing packages, maintain Schedule of Values (SOV), and track retainage and payment milestones.
• Maintain project records in Buildertrend, track schedules, receipts, milestones, and progress updates.
• Ensure data integrity in CRM and project management systems.
• Coordinate with clients, contractors, vendors, and stakeholders; support pre‑construction and pre‑sales activities.
• Organize permits, contracts, and project documentation; participate in weekly project meetings.

Required profile

• Experience with commercial construction contracts.
• Hands‑on experience with AIA billing and Schedule of Values.
• Knowledge of bid bonds, performance bonds, and maintenance bonds.
• Strong Excel and Microsoft Office proficiency.
• Excellent communication and organizational abilities.
