About the role
We are looking for a highly organized Executive Assistant to support the CEO of a growing healthcare organization. This remote, full‑time position will act as the CEO’s right hand, handling calendars, communications, compliance tracking, and client relations while maintaining strict confidentiality.
Key responsibilities
- Manage the CEO’s calendar, meetings, travel arrangements, and executive communications.
- Oversee email inboxes, correspondence, and priority follow‑ups.
- Prepare reports, presentations, meeting materials, and executive briefings.
- Coordinate leadership activities, project deadlines, and cross‑functional initiatives.
- Support HR functions, onboarding, compliance monitoring, and certification tracking.
- Assist with financial administration, payroll coordination, and vendor management.
- Handle client and family communications, concerns, and meeting coordination.
- Support marketing, referral tracking, and business development efforts.
Required profile
- Previous experience as an Executive Assistant, Senior Administrative Assistant, Operations Coordinator, or similar role.
- Exceptional calendar management and scheduling abilities.
- Strong written and verbal English communication skills.
- Proven ability to handle confidential business, employee, and client information.
- Independent, proactive work style with excellent follow‑through and problem‑solving.
Required skills
- Proficiency with Microsoft Office (Word, Excel, PowerPoint).
- Experience using Google Workspace (Docs, Sheets, Slides, Gmail).
- Familiarity with video‑conferencing tools such as Zoom and Microsoft Teams.
