Talent Acquisition Senior Onboarding Specialist

About the role

The Talent Acquisition Senior Onboarding Specialist supports the TA Operations function by designing and executing pre‑boarding and hiring processes. Acting as a subject‑matter expert, the role ensures a smooth transition from final interview to the employee’s first day while maintaining compliance and a positive candidate experience.

Key responsibilities

• Draft, review, and send official employment agreements with accurate salary, start date, and terms.
• Initiate, monitor, and follow up on background verifications and drug screenings.
• Ensure pre‑employment activities comply with FCRA, EEOC, and data‑privacy regulations.
• Create employee records, process internal movements, and verify Right‑to‑Work documentation.
• Serve as primary contact for candidates during pre‑boarding, addressing queries and preventing fallouts.
• Collaborate with recruiters, hiring managers, IT, and external vendors to facilitate onboarding.
• Manage complex onboarding cases, resolve red‑flag background issues, and handle high‑level inquiries.
• Identify workflow gaps and implement improvements for efficiency and satisfaction.
• Mentor junior onboarding specialists and audit data entered into ATS and HRIS.

Required profile

• 2‑4+ years of experience in HR onboarding, talent acquisition support, recruitment administration, or HR service delivery.
• Tertiary degree or equivalent combination of education and work experience.
• Excellent verbal and written communication skills.
• Strong adherence to defined workflows and high attention to detail.
• Proven ability to build trusted relationships with stakeholders.

Required skills

• Experience with Applicant Tracking Systems (ATS).
• Experience with Human Resources Information Systems (HRIS).
