Real Estate Executive Virtual Assistant

About the role

A remote Real Estate Executive Virtual Assistant is needed to support a real estate agent with administration, client and lead follow-up, vendor coordination and basic marketing. The position is fully remote and the client pays the assistant directly.

Key responsibilities

• Manage the agent's calendar, schedule and daily admin, turn messages into tasks and reminders, and help handle calls and escalations.
• Update sellers on listing activity and marketing, follow up with buyers' agents after showings, and respond quickly to client enquiries by email, phone and social media.
• Follow up with new and existing leads, keep accurate records in Lofty CRM (or similar), and assist with client nurturing.
• Work with transaction coordinators, coordinate vendors such as photographers, inspectors and contractors, track timelines and help prepare listings.
• Support listing marketing, social media engagement, business development and local market research.

Required profile

• Previous experience supporting a real estate agent, broker or team.
• Excellent spoken and written English, able to communicate directly with clients, agents and vendors.
• Strong organization, multitasking and follow-up skills, comfortable with several priorities at once.
• Self-motivated, customer-service oriented and interested in becoming a long-term partner to the agent.

Required skills

• Real estate CRM platforms, preferably Lofty (or Follow Up Boss, KVCORE).
• Vendor coordination and project management.
• Familiarity with Instagram, Facebook and email.
