Production Coordinator

About the role

We are seeking a highly organized Production Coordinator to oversee daily backend operations, logistics tracking, and communication with internal teams and suppliers. The role ensures smooth workflows by handling administrative and tracking tasks, allowing leadership to focus on strategic priorities.

Key responsibilities

• Process orders accurately, verify client requests, calculate pricing, and enter data into SAGE or similar systems.
• Create product mockups by placing client logos onto templates using Adobe Illustrator.
• Coordinate with printers, suppliers, and production partners to review proofs and obtain approvals.
• Track production schedules, supplier timelines, and shipment statuses to ensure timely delivery.
• Maintain accurate logistics and freight tracking records.
• Manage internal email inboxes, project queues, and production files.
• Follow up with suppliers on order updates, inventory, and timelines.
• Monitor shipments, identify potential delays, and escalate issues.
• Support the sales team with administrative and logistical tasks.

Required profile

• 3–5 years of experience in promotional products, corporate gifting, or custom merchandise.
• Proven ability to work independently, manage tasks efficiently, and maintain professionalism.
• Excellent written and verbal English communication skills.
• Comfortable communicating with suppliers and internal teams via email and phone.

Required skills

• Adobe Illustrator (logo placement, vector editing, file exporting).
• SAGE or similar ERP system.
• Promotional product management platforms (ASI/ESP, Commonsku, Promois).
• Microsoft Excel.
• Google Sheets.
• Handling PDF, JPEG, and PNG files.
• Experience with AI tools for content drafting and scheduling.
