Purchasing Officer – Hotel Procurement

About the role

The Purchasing Officer will support hotel operations and pre‑opening activities by managing the procurement of food and non‑food items. You will be responsible for ensuring that all purchases meet quality, cost, and delivery standards.

Key responsibilities

• Evaluate supplier performance on quality, service, pricing and reliability.
• Source, evaluate and negotiate with suppliers for hotel requirements.
• Prepare, process and monitor purchase orders within approved budgets.
• Conduct market buying for urgent needs while maintaining cost efficiency.
• Ensure timely procurement to support hotel operations and pre‑opening needs.
• Compare quotations and recommend suppliers based on price, quality and delivery terms.
• Coordinate with Receiving, Inventory and End‑User departments to verify deliveries and resolve discrepancies.
• Maintain up‑to‑date records of purchases, contracts, pricing and approved suppliers.
• Monitor inventory levels and coordinate replenishment to avoid shortages or overstock.
• Ensure compliance with procurement policies, internal controls and audit requirements.
• Assist in pre‑opening procurement setup for FF&E, OS&E and operational supplies.
• Prepare purchase reports, cost analysis and procurement updates for management.

Required profile

• Experience in purchasing or procurement for hotel operations.
• Ability to evaluate supplier performance and negotiate contracts.
• Strong attention to detail in order processing and record keeping.
• Familiarity with inventory monitoring and replenishment processes.
• Understanding of compliance and audit requirements in procurement.
