HOA Collections Specialist

About the role

OurAssistants is looking for an experienced HOA Collections Specialist to manage delinquent homeowner accounts for U.S.-based homeowners associations. The role involves outbound collection calls, negotiating payment arrangements, and maintaining positive homeowner relationships while ensuring compliance with HOA policies.

Key responsibilities

• Monitor delinquent homeowner accounts and AR aging reports; make outbound collection calls and follow up via phone, email, and written correspondence.
• Negotiate payment plans, process payments, credits, adjustments, and reconcile accounts; prepare and send collection notices, late notices, demand letters, and statements.
• Maintain accurate homeowner ledgers and collection notes within AppFolio; generate AR aging, delinquency, and collections reports for management.
• Respond to homeowner inquiries, handle difficult conversations, resolve billing discrepancies, and escalate complex matters when necessary.
• Coordinate with HOA managers, accounting teams, attorneys, and collection agencies; assist with month‑end AR reconciliation and reporting.

Required profile

• Minimum 2 years of HOA collections or Accounts Receivable experience.
• Hands‑on experience with AppFolio and strong understanding of HOA assessment collections.
• Experience making high‑volume outbound collection calls and negotiating payment arrangements.
• Excellent verbal and written communication with strong conflict‑resolution abilities.
• Must reside in the Philippines or Latin America with a stable internet connection and remote‑ready workstation.
