About the role
We are seeking a proactive, reliable, and detail‑oriented Executive Assistant to support our executive team in day‑to‑day operations and business coordination. Working remotely, you will act as the key partner who keeps the executive focused, informed, and on schedule.
Key responsibilities
- Manage the executive’s calendar, appointments, and daily schedule, ensuring all commitments are organized and up to date.
- Handle email correspondence, prioritize urgent matters, and maintain a clear inbox.
- Follow up on outstanding tasks and communications to keep operations running efficiently.
- Provide regular reminders and updates on key priorities, deadlines, and pending actions.
- Prepare meeting notes, simple reports, and documentation as needed.
- Track company orders, deliveries, and operational activities, using Asana or similar tools.
- Coordinate with clients, vendors, and internal team members to maintain clear communication.
- Maintain organized digital records of estimates, proposals, and client files.
Required profile
- Proven experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator.
- Excellent communication and follow‑up skills with a professional, persistent approach.
- Strong organizational abilities and attention to detail.
- Ability to multitask, anticipate needs, and handle sensitive information with discretion.
- Dependable, proactive, and highly reliable under minimal supervision.
Required skills
- Google Workspace (Docs, Sheets, Gmail).
- Asana or similar project‑management/CRM tools.
