About the role
We are looking for a highly organized Executive Assistant who will also act as a Finance and Operations Coordinator for our fast‑moving hospitality and furnished‑rental business. The role is execution‑focused, ensuring that administrative workflows move smoothly, on time, and are ready for review by internal stakeholders.
Key responsibilities
- Coordinate recurring administrative and operational workflows across finance, payroll, onboarding, procurement, reporting and general operations.
- Maintain trackers, logs, checklists and supporting records; follow up on missing information and outstanding items.
- Support finance administration, including payment requests and workflow coordination.
- Manage furnished‑rental inventory onboarding and off‑boarding, document collection and checklist completion.
- Track employee‑related items such as payroll changes and assist with procurement intake, quote collection and approval tracking.
- Support reporting processes through data collection, spreadsheet updates and file organization.
- Update internal systems and process documents where workflows are repeatable.
- Escalate exceptions, risks or incomplete items to the appropriate owner.
- Provide typical executive‑assistant support: calendar management, meeting coordination, inbox monitoring, travel planning and preparation of agendas, notes and follow‑up actions.
Required profile
- Extremely organized and detail‑oriented.
- Strong written and verbal English communication skills.
- Excellent follow‑through and ability to manage multiple concurrent tasks.
