About the role
The Partnerships Assistant provides administrative support to the Partnerships & Engagement (P&E) Section of OAVP‑UPI. The role involves managing partnership agreements, maintaining related databases, and coordinating program logistics with internal and external stakeholders.
Key responsibilities
- Facilitate negotiation, review and finalisation of standard partnership agreements such as MOUs, MOAs, student exchange and data‑sharing agreements.
- Develop and maintain a digital database of all contracts and agreements, ensuring information is current and accessible.
- Monitor the validity of partnership agreements and advise the Section Head on renewal requirements.
- Update agreement templates in consultation with relevant university offices.
- Receive, catalogue and process partnership requests from external stakeholders.
- Prepare program‑related documents using prescribed templates (e.g., letters to participants, certifications).
- Coordinate program preparations with partner university departments, handling itineraries and participant needs.
- Assist the Section Head in maintaining relationships with local and overseas institutional partners, industry collaborators and government agencies.
- Arrange meeting schedules with partners during international conferences and ensure logistical details are clear.
- Lead administrative and logistical arrangements for meetings, onsite and off‑site events, and other P&E activities.
Required profile
- Works under the supervision of the Head of the Partnerships and Engagement Section.
