HR Virtual Assistant

About the role

The HR Virtual Assistant will support a fast‑growing pediatric therapy practice in Orlando, FL. Working remotely, you will be the central point for recruitment, onboarding, credentialing, and daily HR administration while staying continuously connected via virtual meeting rooms.

Key responsibilities

• Log into the Virtual Operations Room (Zoom or Google Meet) for the entire shift and attend the daily 15‑minute start‑of‑day meeting.
• Post job ads for therapists and administrative positions on Indeed, ZipRecruiter, and university boards; track applicants in a recruitment spreadsheet.
• Schedule interviews, send onboarding emails, create employee folders in Google Drive, and verify completion of licensing, CPR, background checks, W‑4, I‑9, and Medicaid credentialing.
• Maintain digital employee files, track licenses, CEUs, and insurance credentials; manage attendance, PTO, and weekly hour reports.
• Prepare offer letters, employment agreements, and internal HR forms; support new‑hire orientation and probation monitoring.
• Send reminders for training, compliance deadlines, and policy updates; assist with internal communications and HR newsletters via WhatsApp or other channels.
• Submit a weekly HR productivity report covering new hires, pending candidates, terminations, credentialing status, compliance updates, and attendance summaries.

Required profile

• Experience in HR, recruiting, or healthcare administration.
• Familiarity with U.S. healthcare documentation (W‑4, I‑9, HIPAA, licensure) is a plus.
• Strong organizational, communication, and accountability skills.
• Ability to work independently in a fully remote environment.

What we offer

• Full‑time (40 hrs/week) or part‑time (25‑30 hrs/week) schedule.
• Hourly rate of $5‑$6 based on experience.
