About the role
The Executive Assistant is a key member of the Executive Assistance and Travel Management Team, providing high‑level administrative support to the Head of Manulife Business Processing Services. This role ensures seamless coordination of daily leadership activities, travel, and communications in a fast‑paced environment.
Key responsibilities
- Manage a complex executive calendar, schedule meetings, and resolve conflicts.
- Coordinate domestic and international travel, itineraries, and related logistics.
- Prepare meeting agendas, capture minutes, and follow up on action items.
- Process expense reports in line with company policies.
- Support the creation of materials for leadership meetings and presentations.
- Maintain organized executive files and confidential documentation.
- Draft, proofread, and format executive communications and briefing notes.
- Facilitate high‑level visits, workshops, town halls, and other senior‑leadership events.
- Assist with onboarding and off‑boarding of leadership team members.
Required profile
- Minimum 6 years of experience supporting senior or C‑suite leaders.
- Proven ability to handle confidential information with discretion.
- Strong organizational skills, sound judgment, and proactive mindset.
- Experience in corporate or shared‑services environments; global team support is a plus.
