Shift Terminal Operations Administrator

About the role

The Terminal Operations Administrator (TOA) works on a shift basis to support the safe, compliant and efficient operation of a fuel terminal. The role combines administrative duties such as dispatching, inventory reconciliation and reporting with hands‑on operational tasks including product handling, permit issuance and emergency response.

Key responsibilities

• Issue loading and delivery documents, manage security seals and provide delivery paperwork to customers.
• Reconcile tank inventories, prepare and submit inventory reports, investigate discrepancies and ensure accurate system entries.
• Prepare end‑of‑day, government‑required and other regulatory reports, and manage on‑site records retention.
• Handle office and terminal administration, including inventory of supplies and maintenance items.
• Support the Terminal Manager with contractor workforce management and implementation of operational standards.
• Perform Shore Officer duties for safe vessel loading/unloading and manage pipeline, truck and rail receipts.
• Issue permits for non‑routine work, conduct surveillance inspections and carry out maintenance‑related activities.
• Participate in the Terminal Emergency Response Team, notifying management of potential crises and conducting daily operator rounds.

Required profile

• Experience in terminal or logistics operations with a strong focus on safety and compliance.
• Ability to manage documentation, reporting and records in accordance with local legislation.
• Proactive attitude for supporting operational standards and developing site‑specific procedures.
• Willingness to work shift patterns and respond to emergency situations.
