Project Coordinator – Cebu

About the role

The Project Administrator supports the Project Manager by handling tasks that do not require decision‑making, such as monitoring the project financial forecast, posting actuals, managing documentation, triggering invoices and monitoring payments.

Key responsibilities

• Collect information for Project Manager and Supervisor decision‑making.
• Monitor project schedule and alert the Project Manager of upcoming S‑plan milestones.
• Support customer correspondence, obtain approvals and signatures, and ensure documentation is archived.
• Track invoicing status versus billing plan, report deviations and follow up with customers.
• Update cost forecasts with actuals and incoming invoices, ensuring monthly updates before key milestones.
• Create purchase requisitions in the system, coordinate with Purchasing Coordinator and ensure correct labor planning.
• Administer change orders and variation sales, handling contract changes and communicating across functions.
• Monitor actual costs versus plans, prepare revenue and cost status for forecast reviews.
• Compile end‑of‑project documentation for customer submission and archiving.
