CRM Coordinator

About the role

We are looking for a CRM Coordinator to serve as the operational backbone of our member and prospect pipeline. You will own the integrity and performance of our HubSpot CRM, ensuring that every contact, deal stage, and communication touchpoint is accurate, timely, and purposeful.

Key responsibilities

• Administer day‑to‑day HubSpot operations, including contact records, deal stages, custom properties and lifecycle stages.
• Maintain a single source of truth for all member and prospect data, proactively cleaning duplicates and resolving data anomalies.
• Design, build and maintain workflows, sequences and automations that support acquisition, engagement and retention.
• Collaborate with Partner/Origination and Managing Partner teams to keep pipeline data aligned with real‑time activity.
• Continuously evolve CRM architecture as the club scales, adding new pipelines, stages and segments.
• Track, analyse and report on funnel metrics such as applications, conversions, member tenure and engagement signals.
• Create and update dashboards that provide clear visibility into pipeline health.
• Manage audience segmentation and list coordination for outreach campaigns, ensuring messages reach the right segment at the right time.

• Ability to anticipate and resolve process breakdowns before they impact the team.
• Excellent communication skills to work closely with community and operations leadership.
