Terminal Operations Administrator

About the role

The Terminal Operations Administrator (TOA) supports the terminal team with both administrative and operational activities. This position ensures safe, compliant, and efficient terminal operations while providing valuable exposure to distribution and logistics processes.

Key responsibilities

• Dispatch loading and delivery documents, issue security seals, and manage delivery order filing.
• Reconcile tank inventories, prepare and submit inventory reports, and investigate discrepancies.
• Enter stock and material movements accurately into the system and resolve related issues.
• Verify hydrocarbon quantities leaving the terminal for loss control and duty compliance.
• Prepare end‑of‑day and government‑related reports, ensuring proper review, approval, and retention.
• Manage on‑site records, office supplies, and maintenance supplies.
• Support the Terminal Manager with contractor workforce management.
• Implement operational standards, develop site‑specific procedures, and perform safety‑critical tasks.
• Conduct Shore Officer activities, pipeline/truck/rail receipt, and permit‑to‑work issuance.
• Perform surveillance inspections, maintenance tasks, and emergency response duties.

Required profile

• Experience with terminal or distribution operations.
• Ability to handle dispatching, inventory reconciliation, and report preparation.
• Knowledge of safety procedures, permit‑to‑work processes, and emergency response protocols.
