Purchasing Officer – Hotel Operations

About the role

The Purchasing Officer supports the hotel's daily operations by sourcing, procuring, and delivering quality goods and services. Working closely with finance, receiving, warehouse, and various operational departments, the role ensures seamless supply chain flow and compliance with budgetary and policy guidelines.

Key responsibilities

• Source, evaluate, and negotiate with suppliers for food, beverage, equipment, and non‑food items.
• Prepare, process, and monitor purchase orders against approved requisitions and budgets.
• Conduct urgent market purchases while maintaining cost efficiency and product quality.
• Obtain and compare supplier quotations to secure best value.
• Coordinate with receiving, warehouse, finance, and end‑user departments to verify deliveries and resolve discrepancies.
• Maintain accurate records of suppliers, contracts, quotations, and procurement transactions.
• Monitor inventory levels to avoid shortages or overstocking.
• Evaluate supplier performance and recommend improvements.
• Ensure all procurement activities comply with company policies and audit requirements.
• Assist in preparing procurement reports and analyses.

Required profile

• Bachelor's degree in Business Administration, Supply Chain Management, Hospitality Management, Logistics or a related field.
• Minimum 2 years of purchasing or procurement experience, preferably in hospitality.
• Strong knowledge of procurement processes, supplier management, and inventory control.
• Excellent analytical, negotiation and problem‑solving abilities.
• Effective communication skills.
