Proposal Coordinator – Bid Management Specialist

About the role

The Proposal Coordinator will own the end‑to‑end production of bid responses, ensuring quality, competitiveness, and compliance for inbound and outbound opportunities. Reporting to sales leadership, you will work closely with division heads, pricing, legal, and security teams to turn qualified prospects into signed contracts.

Key responsibilities

• Lead the response process for RFPs, RFIs, RFQs, security questionnaires, vendor risk assessments, and unsolicited proposals.
• Translate technical capabilities across Helpware’s four divisions into client‑specific value propositions.
• Coordinate input from sales, operations, pricing, legal, security, and HR to assemble compliant, on‑brand proposals.
• Maintain and enhance the proposal content library, boilerplate text, and response templates.
• Partner with marketing and enablement to develop case studies, capability statements, and one‑pagers.

Required profile

• 1–2 years of experience in proposal writing, bid management, sales enablement, or B2B content development.
• Background in BPO, SaaS, or professional services is strongly preferred.
• Native or near‑native English written fluency; portfolio of written work required.
• Demonstrated experience with enterprise procurement processes (RFP, RFI, security/vendor risk questionnaires).
• Track record of meeting tight deadlines on complex, cross‑functional deliverables.
• Bachelor’s degree in business, marketing, communications, or related field preferred (equivalent experience acceptable).

Required skills

• Advanced Microsoft Office: Word, PowerPoint, Excel (pivot tables, lookups, basic financial modeling).
• HubSpot (preferred) or Salesforce CRM experience.
• Knowledge‑management tools: Notion, Confluence, SharePoint, Google Drive.
• PDF editing, version‑control discipline, template design, and brand consistency.
