Physician Scheduler

About the role

The Physician Scheduler provides operational support for physician advisors, clients, and the management team. This role coordinates scheduling, communication, and administrative tasks to ensure smooth peer‑to‑peer interactions and efficient office operations.

Key responsibilities

• Schedule phone calls with medical insurance companies for peer‑to‑peer (Concurrent Denial) discussions.
• Update insurance payer contact activity in the Scheduler application and Physician Advisory portal.
• Maintain virtual filing systems and client contact information in Humanity and the portal.
• Facilitate communication between physician advisors, payers, and clients via virtual meetings, calls, and email.
• Assist in onboarding new physician advisors, including documentation, equipment setup, and training coordination.
• Develop and document new structured processes.
• Support remote physician advisors with EMR access and operational questions.
• Serve as point of contact for internal and external clients, handling data collection, report generation, and project tasks.
• Manage calendar and expense reporting for senior leadership.
• Create communication materials using Canva and PowerPoint.

Required profile

• High school diploma or equivalent.
• Knowledge of healthcare administration and electronic medical record (EMR) systems is a plus.
• Strong written and verbal communication skills.
• Excellent organizational ability, attention to detail, and confidentiality handling of PHI in compliance with HIPAA.
