Bookkeeper & Accounts Payable Specialist

About the role

A remote, full-time Bookkeeper & Accounts Payable Specialist is sought to handle daily bookkeeping, vendor invoice processing, invoicing and basic financial reporting. The role is paid up to $1,500 and involves direct communication with the client.

Key responsibilities

• Perform daily/weekly bookkeeping in QuickBooks Online and process incoming vendor invoices, converting purchase orders to bills and flagging discrepancies for approval.
• Maintain the PO/bill tracking spreadsheet and support purchasing coordination.
• Support payroll processing every two weeks, including technician pay and W-2 commission data.
• Generate and send client invoices, track AR aging and follow up on outstanding invoices, and apply and reconcile payments in QuickBooks.
• Categorize transactions in QuickBooks and Ramp, maintain QuickBooks Projects, and update recurring reports such as the GM report, yearly profit tracking and the master/budget report.
• Provide W-9 and Certificate of Insurance documents to customers and vendors, track subscription renewals and coordinate lien waiver notarization.
• Take on light project coordination and communication tasks as workflows mature.

Required profile

• Hands-on experience with QuickBooks Online, able to identify and correct data-entry issues independently.
• Prior experience with AP, AR, invoicing or bookkeeping in a small-business setting.
• Strong written English, as the role emails customers and vendors directly.
• High attention to detail and ability to follow documented, multi-step processes exactly.
• Self-directed and reliable, able to run the recurring workflow independently after training.
• Discreet with financial and vendor information.
