About the role
We are seeking a proactive Virtual Executive Assistant to support senior directors of a fund management firm. The role is fully remote and focuses on providing high‑level administrative and investor‑relations support to ensure smooth operations and effective communication with sophisticated investors.
Key responsibilities
- Manage directors’ calendars, schedule meetings, travel arrangements and coordinate investor roadshows, board meetings and conferences.
- Handle inboxes, draft correspondence, prepare agendas, briefing packs and follow‑up notes, and track action items to completion.
- Organise logistics for capital‑raising events, internal offsites and document filing, expenses and invoicing.
- Serve as first point of contact for inbound investor enquiries, qualify leads, schedule calls and maintain the CRM pipeline.
- Assist with periodic investor updates, distribution notices and ad‑hoc communications.
Required profile
- Minimum 3 years experience as an Executive Assistant, Virtual Assistant or Operations Coordinator supporting senior executives.
- Background in funds management, financial services, wealth management or professional services.
- Hands‑on experience with monday.com or comparable CRM platforms (HubSpot, Salesforce, Pipedrive).
- Excellent written and verbal communication tailored to an investor audience.
- High level of discretion handling confidential investor and commercial information.
- Self‑starter able to work autonomously across core business hours of the directors.
