About the role
We are looking for a highly organised Commercial Real Estate Coordinator to provide end‑to‑end administrative, CRM, listing, documentation, and marketing support for our Australian commercial real estate business. The role is remote and starts immediately, offering a full‑time schedule of 40 hours per week.
Key responsibilities
- Maintain daily Rex CRM hygiene, including contact management, deduplication, tagging, data enrichment, and pipeline updates.
- Create and update accurate property listings, manage vendor, buyer and tenant databases, and generate weekly performance reports.
- Coordinate onboarding of new property listings, collect vendor information, title searches, floor plans, photography, and supporting documents.
- Draft, proofread and publish listing content across commercial property platforms, ensuring price and status accuracy.
- Prepare and format agency agreements, proposals, information memorandums, leasing schedules, and reports while maintaining version control.
- Assemble Form 1 Vendor Statements, contract packs, and disclosure documents; conduct QA checks and liaise with solicitors, councils and search providers.
- Create and update marketing collateral such as brochures, EDMs, window cards, social media assets, and perform light graphic design using Canva or Adobe Creative Suite.
- Coordinate with external suppliers including photographers, printers and copywriters.
Required profile
- Demonstrable experience supporting a commercial real estate business in Australia.
- Hands‑on experience using Rex CRM for listing management, contact database maintenance, pipeline tracking and reporting.
- Proven ability to manage commercial property listings from onboarding through to sale or lease completion.
