About the role
We are looking for a detail‑oriented Administrative Assistant to support day‑to‑day purchasing, administrative, and operational coordination across sourcing, R&D, and internal departments. The role blends administrative support with vendor communication, research, and ERP/PO management to keep our fast‑moving manufacturing environment running smoothly.
Key responsibilities
- Create, issue, and manage Purchase Orders in NetSuite or other ERP systems.
- Track open purchase requests, follow up with vendors on pricing, lead times, and shipment updates.
- Provide calendar management, meeting scheduling, and inbox coordination for multiple departments and leadership.
- Conduct online research, gather quotes, and maintain organized purchasing records.
- Ensure data accuracy in ERP systems and support reporting and workflow improvements.
- Collaborate with Operations, R&D, Finance, and the Leadership Team on urgent operational and purchasing needs.
Required profile
- Highly organized, resourceful, and comfortable working with data and cross‑functional teams.
- Strong attention to detail and ability to manage multiple priorities in a fast‑paced environment.
- Excellent written and verbal communication skills.
Required skills
- Experience with NetSuite or other ERP systems.
- Proficiency in managing purchase orders and vendor communications.
