Purchasing Assistant Buyer

About the role

The Purchasing Assistant Buyer supports the procurement team by managing purchase orders, coordinating with buyers, and ensuring timely and accurate deliveries. This role is essential for maintaining smooth supply chain operations within a retail environment.

Key responsibilities

• Evaluate and approve purchase orders, coordinating with assistants and buyers to ensure delivery accuracy.
• Monitor purchase order claims and ensure compliance with company regulations.
• Design purchasing contracts, procedures, and policies.
• Develop specifications for services and equipment, recommending suitable substitutes.
• Review purchase specifications and issue bids to suppliers.
• Organize meetings, prepare reports, and design business plans to meet purchasing objectives.
• Conduct inventory inspections, reorder supplies, and maintain stock levels.
• Update and maintain records of orders, payments, and received stock.
• Establish and maintain professional relationships with vendors and clients.
• Serve as primary contact for purchasing inquiries and resolve vendor discrepancies promptly.
• Maintain accurate purchase records, including invoices and receipts, and reconcile vendor statements monthly.

Required profile

• Bachelor's degree in a business‑related field (retail coursework is a plus).
• 1–2 years of experience in retail merchandising, modern trade, or store‑chain environments.
• Strong administrative and clerical background with excellent organizational, planning, and time‑management skills.

Required skills

• Proficiency in Microsoft Office applications (Word, Excel, Access, PowerPoint).
• Intermediate knowledge of Open Office.
