Logistics Coordinator

About the role

The Logistics Coordinator will manage retailer purchase orders, primarily for Walmart, and oversee shipment preparation, documentation, tracking, and fulfillment. Reporting to the Operations Manager and Director of Operations, the role works remotely and follows a Monday‑Friday schedule aligned with U.S. Central and Manila time zones.

Key responsibilities

• Retrieve, review, and process retailer purchase orders (POs) from Walmart and other retailers.
• Access retailer portals and EDI platforms (e.g., Walmart Retail Link) to maintain product information and order status.
• Enter and update PO, shipment, and delivery details in Microsoft Excel, Google Sheets, and internal order‑management systems.
• Set up shipments in Walmart’s transportation system, create shipment tickets, and prepare Bills of Lading, retailer‑compliant labels, and ASN stickers.
• Upload shipment documentation to Google Drive and coordinate with production for printing and preparation.
• Monitor retailer compliance, routing requirements, and appointment information, communicating updates to internal teams.
• Track shipment status, obtain Proofs of Delivery, and maintain accurate records of PO, shipment, BOL, and delivery.
• Investigate retailer claims and discrepancies, file and process claims for missing or unreceived shipments.
• Identify potential On‑Time In‑Full (OTIF) and compliance issues and alert relevant internal stakeholders.
• Support reporting and analysis on retailer sales, inventory, fulfillment, and compliance using retailer reporting systems.

Required profile

• Minimum 2 years of experience in logistics coordination, retail order processing, or a related field.
• Strong attention to detail and organizational skills for managing order information and shipping documents.
• Effective written and verbal communication for coordination with client contacts and internal teams.
• Willingness to learn retailer‑specific systems; training will be provided.
