Virtual Intake Coordinator – Specialty Pharmacy

About the role

The Virtual Intake Coordinator – Specialty Pharmacy manages and coordinates home infusion services for patients, acting as the primary liaison between clinical pharmacists, home health agencies, case management and utilization review teams. This position ensures timely processing of referrals, insurance authorizations, and delivery of specialty medications.

Key responsibilities

• Coordinate infusion and nursing services, handling referral calls and completing referral forms.
• Enter patient demographics, insurance, physician, nursing agency and other details into the EMR system.
• Attach appropriate payers to patient records and manage electronic faxes and admission packets.
• Provide pharmacy orders to pharmacists and communicate delivery details to dispatchers.
• Document all communications with case managers, agencies, patients, physicians, insurers and pharmacists.
• Verify insurance coverage, request authorizations within 24 hours and confirm authorization codes.
• Consult leadership on cash quotes, reimbursement rates and referral questions.
• Maintain ongoing communication with home health agencies, hospitals and physician offices.

Required profile

• Clinical VA experience and specialty pharmacy experience required.
• Knowledge of specialty medications such as IVIG, Remicade, Blincyto, Dupixent, Krystexxa, Tepezza and Rituxan.
• Strong interpersonal, organizational and time‑management abilities.
• Excellent oral and written communication skills.
• Ability to work independently with minimal supervision.

Required skills

• Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Experience using an EMR system for patient data entry.
