Operations Assistant – Supplier Inventory Management

About the role

We are seeking a detail‑obsessed Operations Assistant to support the supplier inventory for event travel packages. The role is fully remote, based in the Philippines, and works closely with the General Manager and Product team in Australia.

Key responsibilities

• Participate in product planning meetings to define hotel, room, and supplier requirements for 15‑25 events per year.
• Contact existing and new suppliers, negotiate rates and terms, and record all details in event‑specific spreadsheets.
• Maintain contracts, monitor release‑back dates, cancellation policies, and payment schedules to avoid missed deadlines.
• Flag excess or unsold rooms ahead of release dates and manage rooming lists throughout the sales period.
• Verify supplier invoices and ensure accurate handover before client travel.

Required profile

• Strong attention to detail and a passion for accurate data management.
• Ability to work under tight deadlines and handle multiple event launches simultaneously.
• Excellent communication skills for liaising with suppliers and internal teams.
• Self‑motivated, able to work independently as a contractor.
