Operations Assistant

About the role

The Asian Development Bank (ADB) is seeking an Operations Assistant to support the Transport Sector Division (SD1-TRA) at its Manila headquarters. The role provides essential administrative and project‑processing support for loans, technical assistance, and related activities, contributing to ADB’s mission of reducing poverty and fostering sustainable development in the Asia‑Pacific region.

Key responsibilities

• Manage correspondence, draft routine letters, and review documents before supervisor approval.
• Maintain filing systems and databases, ensuring accurate and timely updates of event and knowledge‑sharing records.
• Coordinate the supervisor’s calendar, arrange meetings, travel, and accommodation in line with ADB procedures.
• Assist in preparing loan and technical assistance documents, processing claims, contract variations, and reports.
• Provide logistical support for project meetings, missions, and documentation such as project concept notes and implementation memos.
• Offer back‑up support to the Senior Operations Assistant and perform additional duties as outlined in the workplan.

Required profile

• Bachelor’s degree in finance, business administration, public administration, or a related field.
• Minimum of 5 years of relevant professional experience, preferably within multilateral organizations.
• Strong ability to liaise with individuals from diverse professional backgrounds.

Required skills

• Sound knowledge of spreadsheets.
• Proficiency with standard computer‑based applications.
