Facilities Management Assistant

About the role

We are looking for a Facilities Management Assistant to oversee the operation, maintenance and repair of our company’s buildings and facilities. The role ensures that all sites remain safe, functional and compliant with relevant safety and environmental regulations.

Key responsibilities

• Supervise daily operation, maintenance and repair of buildings and facilities.
• Coordinate with contractors and service providers for maintenance and repair works.
• Conduct regular facility inspections and submit detailed reports.
• Monitor maintenance requests, verify service billings and ensure proper cost allocation.
• Evaluate contractor performance and report any issues.
• Oversee processing of Materials Receiving Reports (MRR) and issuance of work and material/equipment gate passes.
• Assist in mid‑year and year‑end inventory of facilities and supplies.
• Prepare and submit required occupational safety and health (OSH) reports.
• Ensure compliance with safety, environmental, waste disposal and recycling regulations.
• Coordinate major repair and maintenance projects and review maintenance contracts and lease agreements.

Required profile

• Bachelor’s degree in Engineering, Facilities Management, Property Management or a related field.
• At least 3 years of experience in building or facilities management.
• Certified Safety Officer (BOSH) is required.
• Knowledge of OSH reporting and regulatory compliance.
• PCO certification is an advantage.
• Familiarity with building systems, preventive maintenance and contractor management.
