Executive Assistant (Night Shift)

About the role

IT By Design is seeking a highly organized Executive Assistant to support its CEO in a fast‑moving, global environment. This night‑shift position (8:00 AM – 5:00 PM EST) blends traditional assistance with AI‑driven workflows, ensuring the executive’s time is protected and strategic initiatives move forward efficiently.

Key responsibilities

• Manage the CEO’s inbox, calendar, and cross‑time‑zone scheduling.
• Plan, book, and reconcile travel itineraries, logistics, and expenses.
• Analyze incoming emails, draft initial responses, and create presentations using AI tools.
• Support strategic projects, track execution, and automate processes.
• Serve as communication liaison between leadership, teams, and external partners.
• Capture meeting notes, maintain action trackers, and ensure follow‑through across human and AI workflows.

Required profile

• 5+ years supporting a CEO or C‑suite executive.
• AI‑first mindset with daily use of tools such as ChatGPT, Claude, or Copilot.
• Exceptional attention to detail, strong follow‑up discipline, and high discretion.
• Ability to work independently from a dedicated home office during night‑shift hours (EST).

Required skills

• Microsoft Office Suite (Outlook, OneDrive, SharePoint, Teams).
• Microsoft Copilot and AI workflow automation tools.
• Zoom video‑conferencing platform.
• Proficiency in using AI assistants for drafting, research, and automation.
