Executive Assistant / Founder’s Associate (Remote)

About the role

We are seeking a proactive Executive Assistant to serve as the Founder’s right‑hand at a fast‑growing international executive search firm. This high‑trust, remote position will protect the Founder’s time, streamline communications, and ensure seamless execution of daily operations.

Key responsibilities

• Own and intelligently schedule the Founder’s diary, prioritising tasks and meetings.
• Tri­age inbox, flag priorities, and draft responses.
• Prepare meeting packs, briefing notes, agendas, and capture actionable notes.
• Coordinate client meetings, candidate interviews, internal sessions, travel, logistics and events.
• Support podcast and event administration, including guest coordination.
• Maintain CRM records and key contact data.
• Track deliverables, anticipate issues and resolve them proactively.
• Handle confidential information with discretion.

Required profile

• 3+ years experience supporting a senior executive or founder.
• Exceptional organisational and time‑management abilities.
• High attention to detail and strong written communication.
• Professional, composed and highly discreet.
• Comfortable thriving in a small, ambitious, high‑accountability environment.
