Commercial Real Estate Operations Administrator (Remote)

About the role

This remote, freelance position supports a high‑producing commercial broker by handling the operational backbone of the business. You will ensure listings, buyers, and tenants move forward smoothly while the broker focuses on revenue‑generating activities.

Key responsibilities

• Maintain RealNex and/or KW Command CRM with accurate contact tagging, deal stages, and activity logs; generate pipeline reports and enforce task deadlines.
• Conduct property searches using CoStar, Crexi, Moody’s Catylist, Brevitas, Reonomy, and CRMLS; compile market surveys, lease comps, and sale comps.
• Create and update marketing materials such as offering memorandums, flyers, and presentations using Canva and Gamma; coordinate email blasts and listing syndication.
• Coordinate transactions from listing to closing, interfacing with escrow, title, lenders, attorneys, and other third parties; track contingencies and maintain digital transaction files.
• Manage calendars, schedule meetings, organize Google Drive file systems, and support internal tools like Slack, Notion, Asana, LastPass, NordVPN, and RealVNC.

Required profile

• Highly organized and detail‑oriented with the ability to work independently.
• Strong accountability and ability to manage multiple priorities in a remote environment.
• Excellent communication skills for coordinating with brokers, clients, and third‑party providers.
