Client Services Rep 1 - Financial Close & Review Planner

About the role

The Manila Speaker Bureau team plans and manages compliant meetings and events for Life Sciences organizations, in person, hybrid and virtual. The Financial Close & Review (FCR) Planner is accountable for auditing and reviewing actual financials after each meeting, with a strong focus on accurate government-required Transfer of Value reporting.

Key responsibilities

• Work as part of the client Core Team of meeting planners, logistics planner and speaker bureau planners.
• Check that planning complies with the client's business rules and budget.
• Verify management fees, speaker travel expenses and speaker honoraria against itineraries and approved costs.
• Plot venue and caterer charges to the approved calculator and move charges to the right budget categories.
• Resolve attendance discrepancies and reconcile expenses across EFX and Centris systems, documenting approved exemptions.
• Ensure receipts and other documents are uploaded and communicate with planners, vendors and stakeholders on time.
• Flag items that could affect meeting compliance and escalate risks, and log work hours accurately in Sprout and PSA.
• Be available for frequent onsite reporting and night shifts, and work during US business hours during peak season.

Required profile

• 2+ years of customer service or equivalent experience.
• Experience serving US clients, preferably in a phone-based customer service role.
• Audit experience preferred; pharma industry experience is a plus.
• Familiarity with US cultural norms and practices.
• Ability to work remotely with dual monitors and adequate internet, and to report onsite frequently.

Required skills

• Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook).
• SharePoint, Salesforce and Smartsheet preferred.
• Phone systems such as Twilio and CRM software preferred.
• Strong attention to detail, multitasking and excellent oral and written communication.
