Office Assistant – Shipping & Outbound Logistics (Remote)

About the role

RemoteVA is looking for a detail‑oriented Office Assistant to manage shipping and outbound logistics for its order‑fulfilment operations. The role is fully remote and supports customers, warehouses, and carriers to ensure accurate and timely deliveries.

Key responsibilities

• Review and process weekly customer orders for shipment.
• Coordinate daily communication with warehouses, customers, and carriers via EDI, email, and phone.
• Prepare shipping documentation such as Bills of Lading, packing lists, labels, and freight paperwork.
• Submit shipping confirmations and Advance Shipping Notices (ASNs) through EDI systems.
• Monitor shipment status, resolve delivery issues, and maintain order, shipping, and inventory records.
• Provide data‑entry and administrative support, collaborating with sales, purchasing, and warehouse teams.
• Assist with special projects and ensure compliance with retailer routing guides.

Required profile

• Previous experience in shipping, logistics, order processing, customer service, or administrative support.
• Strong organizational, time‑management, and problem‑solving abilities.
• Effective written and verbal communication in English.
• Self‑motivated, dependable, and able to work independently in a fast‑paced environment.
