About the role
Aon Philippines is seeking a dedicated Executive Assistant to provide high‑level support to senior leaders across multiple time zones. You will act as a trusted partner, ensuring executives can focus on strategic priorities while you manage calendars, communications, and operational tasks.
Key responsibilities
- Manage complex, multi‑time‑zone calendars, schedule meetings, and coordinate domestic and international travel.
- Serve as gatekeeper and liaison, prioritising requests and handling communications with discretion.
- Prepare, format, and quality‑check executive‑level materials such as presentations, reports, agendas, and briefing notes.
- Support meeting preparation, including pre‑reads, action tracking, and post‑meeting follow‑up.
- Coordinate with global teams, executive assistants, and leadership stakeholders.
- Draft and manage executive communications on behalf of leaders when required.
- Oversee recurring administrative processes like expense submissions, approvals, and compliance.
- Maintain accurate records, trackers, and documentation to support executive workflows.
- Identify opportunities to streamline processes and improve executive effectiveness.
- Assist with onboarding new executives and ensure smooth transition to offshore support models.
- Handle highly sensitive information, ensuring compliance with data privacy and security standards.
Required profile
- Minimum 5 + years of experience supporting senior leaders (Director level or above) as an Executive Assistant.
- Demonstrated ability to manage competing priorities with sound judgment.
- Strong discretion and integrity when handling confidential information.
- Excellent written and verbal communication skills.
