Executive Assistant – Financial Services

About the role

This remote position supports an Investor Relations team by handling professional outreach to U.S.-based wealth managers, family offices, RIAs, and other investment professionals. The role blends executive assistance with B2B communication, focusing on relationship development rather than sales pressure.

Key responsibilities

• Make outbound calls to introduce the client and request permission to share firm materials.
• Verify contact information and keep CRM records accurate and up‑to‑date.
• Identify, connect with, and engage targeted financial professionals on LinkedIn using approved templates.
• Track outreach activity, follow‑ups, and engagement within the CRM system.
• Coordinate scheduling for introductory and follow‑up calls.
• Provide administrative and communication support to the Investor Relations Manager.
• Maintain professionalism, confidentiality, and a polished phone presence.

Required profile

• Experience in outbound calling, appointment setting, LinkedIn outreach, executive assistance, investor relations support, or B2B customer service.
• Comfortable speaking with executives and financial professionals.
• Familiarity with LinkedIn, CRM systems, spreadsheets, and email communication.
• Remote‑work experience with U.S.‑based companies preferred.
• Strong English communication skills and a professional phone demeanor.
• Organized, dependable, and detail‑oriented.
