Divisional Assistant – Tax Advisory Support

About the role

Join a leading Australian chartered accounting and advisory firm as a Divisional Assistant, supporting tax professionals and partners in ATO compliance, client matters, reporting, billing and practice operations.

Key responsibilities

• Manage incoming and outgoing client correspondence and maintain client databases.
• Prepare divisional reports, productivity and timesheet summaries.
• Attend meetings, take minutes, circulate agendas and follow up on action items.
• Archive electronic and paper files, scan legal and accounting documents.
• Schedule appointments for partners and staff, draft and format letters, memos, presentations and PDFs.
• Process fees, assist with billing, send weekly WIP reports and lodge tax returns or ATO compliance matters.
• Support partner activities, maintain Outlook calendars and assist with client meetings.
• Collaborate with other assistants to meet quality management requirements and maintain training registers.

Required profile

• Professional, diligent and ethical approach when working with staff and external parties.
• Respectful, patient, tolerant and responsible conduct.
• Ability to follow instructions, meet deadlines and balance independent problem‑solving with timely escalation.
• Strong attention to detail, ownership of work and adherence to established procedures.

Required skills

• Advanced Microsoft Word (styles, mail merge, track changes, etc.).
• Microsoft Excel.
• Microsoft PowerPoint.
