About the role
The Corporate Secretary Administrative Staff provides essential support to the Office of the Corporate Secretary, ensuring smooth preparation and execution of board and committee meetings for BPI and its subsidiaries.
Key responsibilities
- Prepare and maintain the schedule of board and committee meetings.
- Send calendar invites and Zoom meeting details to participants.
- Affix the corporate secretary stamp to approved documents and route them for signatures.
- Scan signed documents and notify proponents.
- Handle correspondence from directors and executive assistants regarding meeting logistics.
- Assist directors before, during, and after meetings with logistics, catering, and special requests.
- Monitor Zoom meetings to ensure uninterrupted flow.
- Draft minutes of board and committee meetings for review and signature.
- Prepare Secretary’s Certificates and collate documents for director signatures.
Required profile
- Bachelor's degree in any business‑related field or communication arts.
- Fresh graduates are welcome; 1 year of administrative support experience is a plus.
- Strong organizational skills and attention to detail.
