Remote Virtual Scheduler for Aesthetic Practices

About the role

We are looking for a Remote Virtual Scheduler to manage appointment setting for multiple aesthetic medical practices across the United States. Working within a 7 am‑7 pm MST shift, you will engage leads through phone, text and email to book consultations and procedures, all from the comfort of your home.

Key responsibilities

• Contact leads via phone, SMS, email and other channels on behalf of 20+ client accounts.
• Schedule and confirm appointments, coordinating with each practice’s front‑desk staff.
• Maintain accurate records of bookings, conversions, revenue and follow‑up actions in the company CRM.
• Collaborate with the consulting team to refine appointment‑setting strategies and improve conversion rates.
• Collect client feedback on the scheduling experience and provide insights for continuous improvement.

Required profile

• Minimum 2 years experience as a front‑desk coordinator or similar customer‑facing role.
• Excellent verbal and written communication skills.
• Strong attention to detail and ability to multitask in a fast‑paced environment.
• Availability to work a shift within the 7 am‑7 pm MST window.

Required skills

• Proficiency with a CRM platform for tracking appointments and metrics.
• Experience using Asana for task management.
• Familiarity with Loom video resources for training and SOP review.
