Event Management Coordinator I

About the role

Supports the administrative and coordination needs of face‑to‑face, virtual and hybrid events such as trade shows, conventions and conferences. Assists the event team with routine tasks including preparing documents, updating databases, handling simple exhibitor and visitor inquiries, and supporting basic sales activities. Ensures brand standards are maintained through accurate and consistent materials and data, and provides timely follow‑up and clear documentation across all event phases.

Key responsibilities

• Provide event support assistance to all inbound queries.
• Handle inbound calls, emails, chat and social media inquiries for all RX Events.
• Respond to attendees, exhibitors and participants regarding registration, show information and pricing.
• Make outbound calls to increase attendance and assist with registration.
• Read and respond to daily email inquiries for all RX Shows.
• Support exhibitor portals and visitor registration processes.
• Respond quickly to customer queries via chat, email, telephone and social media.
• Take ownership of queries from start to finish.
• Ensure all communication is clear, concise, polite and informative.
• Identify process inefficiencies and escalate suggestions to CRM.

Required profile

• Bachelor's degree.
• Prior relevant training or related work experience.
• Ability to follow set instructions and processes.
• Capability to work independently without supervision.
• Working knowledge of event support or customer service.
• Proactive in seeking information about each show.
• Strong listening skills to identify customer needs.
• Ability to quickly learn and apply enterprise AI tools and technologies.
