About the role
We are seeking a Customer Experience Representative to coordinate VIP meet‑and‑greet services for high‑profile travelers worldwide. The role blends real‑time airport logistics with internal workflow management, supporting the Welcome Wings concierge team across multiple time zones.
Key responsibilities
- Arrange and confirm VIP airport services for arrivals, departures and transit connections.
- Communicate bookings and instructions to global suppliers and local greeters.
- Monitor flight updates, anticipate disruptions and adjust plans proactively.
- Draft service confirmations and supplier briefs with meticulous attention to detail.
- Use custom software and Monday.com to manage workflow queues, flag issues and track status.
- Maintain real‑time service logs, client data and CRM records.
- Support internal projects such as supplier audits, rate‑card updates and service specification reviews.
- Participate in shift‑based global coverage and assist other teams during low‑volume periods.
Required profile
- Background in luxury travel, hospitality or travel operations is strongly preferred.
- Excellent written communication and the ability to produce polished client‑ and vendor‑facing emails.
- Strong time‑management skills and the capacity to juggle competing deadlines.
- Calm and responsive under pressure, especially during last‑minute changes.
Required skills
- Proficiency with Monday.com.
- Advanced use of Google Sheets.
- Experience with shared‑inbox tools such as Front or Gmail.
