About the role
Welcome Wings is seeking a Customer Experience Representative to coordinate VIP meet‑and‑greet services at airports worldwide. You will manage real‑time logistics, communicate with global suppliers, and support the team in delivering seamless, high‑profile travel experiences.
Key responsibilities
- Coordinate VIP airport services for arrivals, departures, and transit connections.
- Confirm bookings and communicate details with global suppliers and local greeters.
- Monitor flight updates and proactively address disruptions or changes.
- Draft service confirmations and supplier instructions with meticulous attention to detail.
- Use custom software to manage workflow queues, flag issues, and track service status.
- Assist with internal projects such as supplier audits, rate‑card updates, and service specification reviews.
- Maintain service logs, client data, and CRM records in real time.
- Provide flexible support across shift‑based global coverage, including occasional tasks for the parent company FlySmoother.
Required profile
- Background in luxury travel, hospitality, or travel operations is strongly preferred.
- Experience using workflow and collaboration platforms (e.g., Monday.com, Google Sheets, shared inbox tools).
- Excellent written communication skills for client‑ and vendor‑facing emails.
- Strong time‑management ability and capacity to juggle competing deadlines.
- Calm and responsive under pressure, especially during high‑stakes or last‑minute changes.
