Construction Administration Assistant (Remote)

About the role

Join Outsourcey as a Construction Administration Assistant and support our global talent expansion mission. This remote position involves managing client onboarding, project documentation, and CRM data for construction‑related projects.

Key responsibilities

• Set up and onboard new clients in Accelo, ensuring accurate data entry.
• Close out completed customers, projects, and sales opportunities in the CRM.
• Monitor and follow up on outstanding quotes, active jobs, and unpaid invoices.
• Respond to customer enquiries via phone, email, and website submissions.
• Manage shared administration inboxes and provide coverage for key team members.
• Maintain and update CRM records with job notes, client contacts, site details, and progress updates.
• Upload and organise site photos, plans, measurements, and supporting documentation.
• Track quote activity and report on quote statuses (won, lost, pending).

Required profile

• Previous administration or customer service experience in construction, trades, or project‑based environments.
• Strong organisational skills with the ability to handle multiple tasks simultaneously.
• Confident communication skills for phone enquiries and client relationships.
• High attention to detail when managing job files and documentation.
• Proactive approach to obtaining missing client information.

Required skills

• Experience with CRM and project management tools such as Accelo or Estimate One.
• Proficient in Microsoft Office.
• Competent with email management systems.
• Familiarity with cloud‑based file storage platforms.
